Landscapers: Built for the Way  You Actually Operate.

Route efficiency, crew time tracking, and renewal automation — built for Florida landscaping companies running 10 to 40 crews.

Landscaping businesses in Florida don't get a slow season — crews are out year-round, and the administrative pressure never cycles off. With industry net operating income averaging just 7% of revenue (NALP 2024) and labor costs projected to rise 20% through 2029, there's no margin to waste on manual scheduling, paper time cards, or renewals that lapse without follow-up. Those three constraints keep most landscaping companies from scaling profitably. We solve all three.

Real result: Data-Dance adds $1,800/mo in recovered service agreement revenue for an 8-crew Seminole County landscaping company.

Where Landscapers Lose Time (and Money) Every Week

1

Route scheduling is still done manually or by phone

A landscaping company running 10–40 crews per day without route optimization software is adding 30–60 minutes of drive time per crew per day. Multiply that across a week and you're looking at real money. We connect your scheduling platform to route optimization and crew dispatch — reducing windshield time and letting you serve more accounts without adding crews.

2

Time tracking and payroll reconciliation take hours each week

Paper time sheets, WhatsApp photos of time cards, or hand-written logs all require manual entry. We connect crew time tracking apps (Buddy Punch, ClockShark, or your existing platform) directly to QuickBooks payroll — eliminating the manual entry step and giving you accurate labor-to-job-cost data in real time.

3

Service agreements and renewals aren't generating recurring revenue

Annual service agreements are the most stable revenue source in landscaping — but most operators don't have a systematic renewal process. We build renewal automation that sends tiered offers at 60, 30, and 7 days before expiration, processes renewals automatically, and routes declined accounts to a follow-up call queue.

Tools We Connect for Landscapers

We don't require you to switch platforms. We connect the tools you already have — or the ones that best fit your operation.

Jobber / LMN / RealGreen

Field operations and scheduling platform designed for landscaping's job structure.

QuickBooks Online

Financial hub — receives time-tracking and job data so you can see profit per crew, per property, per week.

ClockShark / Buddy Punch

GPS-based crew time tracking that syncs directly to payroll.

Zapier / Make

Workflow automation for renewal sequences, new customer intake, and job follow-up.

I spent years as a Solution Architect working with Fortune 500 companies — designing the systems, automations, and data pipelines that let enterprises run at scale. Clean data flows. Real-time visibility. Decisions driven by numbers, not gut feel.

The frustrating part wasn't the work. It was watching small business owners struggle with the exact same problems, without access to the same tools or expertise. The technology existed. The methods were proven. The only thing missing was someone willing to bring it to them at a price that made sense.

That's what Data-Dance is. Not a software vendor. Not an outsourced IT firm. A partner who builds the automation, explains every system we touch, and makes sure you walk away understanding what you have — and why it works.

"The tools Fortune 500 companies use to protect their margins aren't secret. They're just not being applied at the SMB level. That's the gap I built Data-Dance to close."

Landscapers Questions We Hear Often

We use QuickBooks Desktop, not Online. Does that matter?

QuickBooks Desktop has a Web Connector API, but it's significantly more limited than QBO's REST API. Most of the automation workflows we build require QuickBooks Online. If you're still on Desktop, we usually recommend migrating to QBO as part of the engagement — the migration itself is straightforward and the automation capabilities are dramatically better.

We have 40 crews across multiple sites. Are we too big for this?

No — 40 crews is exactly the size where manual scheduling and dispatch breaks down most visibly. The savings from route optimization and automated time tracking at that scale can be substantial. We scope larger operations as phased projects, usually starting with the highest-friction workflow and expanding from there.

How do you handle irrigation and hardscape as separate service lines?

We map your service lines at the start of the engagement and build the integration to handle each one correctly — separate job cost buckets, separate billing rates, and separate crew assignments if needed. Most platforms we work with support multi-service-line job structures natively.
